AI integration cost: how to scope and measure a pilot

A price for connecting AI to the company means little without a workflow. Searching one catalogue and modifying orders across several systems require different effort. Define the estimate and verify value before expanding.

01Identify the factors that change scope

Source count, API quality, actions, user roles and support requirements shape the work. Reading an existing field is generally simpler than a checked order update with error recovery. Unusual data, private networks and multiple clients also matter. Equal numbers of connections do not imply equal complexity.

02Ask for an itemised estimate

Separate discovery, implementation, authentication, acceptance checks, hosting and handover. State who pays for assistant subscriptions, API access and hosting. Describe ongoing support separately: covered failures, availability monitoring and what counts as a new feature. Otherwise, competing quotes are difficult to compare.

03Choose a small, verifiable pilot

Use a frequent task with a known answer, such as finding unprocessed enquiries or checking inventory. Limit sources, roles and actions. Agree on acceptance examples and completion criteria before development. A pilot should execute a real bounded workflow, rather than replay prepared answers.

04Estimate benefits without promises

A hypothetical task repeated ten times daily with four minutes saved each time saves forty minutes per day, roughly fourteen hours over twenty-one working days. These assumptions are not a UZNEO case result. Apply your own labour cost, then subtract subscriptions, maintenance and time spent checking and correcting answers.

05Recognise when value is unproven

A monthly question may not justify maintaining an integration. If every answer needs full manual reconstruction, recalculate savings. Consistent retrieval or fewer forgotten tasks may provide value, but observe those outcomes instead of declaring them in advance. MCP does not automatically increase sales.

06Specify the handover

Receive a working workflow, documented limits and permissions, connected systems, instructions, test results and a disconnection procedure. Agree on account ownership and code transfer. Expand only to the next specific useful task. Compare ready-made and custom servers before choosing.

07Official sources and example boundaries

Platform capabilities were checked against documentation on 22 October 2026. Interfaces, availability and permissions depend on the account and organisation settings. Workflow examples are illustrations, not client case results. Official documentation: MCP architecture

Summary

For a UZNEO AI integration estimate, start with one task and your current system. We first agree on the result, limits and pilot deliverables.

Frequently asked questions

Can you quote a fixed price beforehand?

After defining systems, actions and constraints, a scope can be agreed. We need more than a request for MCP.

How long does implementation take?

It depends on access readiness, action complexity and validation. Agree on timing for the actual workflow.

Is a ChatGPT subscription included?

The proposal should state that explicitly. Separate assistant, API, hosting and support fees.

What if the pilot is not useful?

Pause expansion and compare results with the agreed criteria. A larger launch should not be mandatory.
