AI for catalogues and inventory: products, prices and stock

An assistant can help find products and check availability when it retrieves information from an inventory system. A price list uploaded once is not enough. Define the fields, freshness rules and distinction between viewing stock and reserving it.

01Assign an authoritative source to each field

The website may hold prices, inventory software the stock, and CRM the customer's discount. Document which source wins and how disagreements are handled. Do not combine fresh inventory with yesterday's price without explaining it. Show retrieval time and the applicable pricing conditions, such as retail, wholesale or tax treatment.

02Use the product code and exact variant

Include item code, model, size, colour, selling unit and warehouse. An internal database row ID must not replace the business product code. Multiple matches require clarification. For teams in Uzbekistan, test Russian and Uzbek names, transliteration and the abbreviations employees actually use.

03Specify the answer the employee needs

A hypothetical request asks whether item 1065 in white is available at the main warehouse. The response should identify the exact match, available quantity, unit, applicable price and retrieval time. Network-wide stock must not be presented as availability at one branch. The example does not describe a particular real product.

04Separate stock, reservations and orders

Physical stock may include reserved units. Agree on which available-quantity measure employees may promise to customers. Reservation needs a separate operation: recheck stock before writing, define expiry and prevent duplicate execution. An assistant's confirmation is not a substitute for a confirmed source-system record.

05Test difficult product cases

Include zero stock, several variants, different units, special prices and deleted products. Test warehouse downtime and long result lists. For reservation, test concurrent requests for the final unit. If verification fails, report that availability is unconfirmed instead of presenting an old value as current.

06Choose a limited first stage

Start with one catalogue and warehouse: search, variants and availability reading. Measure employee response time and corrections before adding quotations or reservations. Company knowledge retrieval is a separate task: product descriptions cannot establish live stock.

07Official sources and example boundaries

Platform capabilities were checked against documentation on 22 October 2026. Interfaces, availability and permissions depend on the account and organisation settings. Workflow examples are illustrations, not client case results. Official documentation: MCP architecture

Summary

UZNEO can begin with product search and stock reading through AI and MCP integration, after checking sources, codes, units and pricing rules.

Frequently asked questions

Can we use an Excel file?

A read-only workflow may be possible, but freshness depends on file updates. Concurrent edits and reservations need separate assessment.

Will AI know actual stock by itself?

No. It receives what the connected source returns. Poor inventory records remain poor records.

Can different customers receive different prices?

Only when customer pricing rules and permissions are implemented. The assistant must not invent discounts.

What if the warehouse does not respond?

State that availability was not verified. Identify cached information clearly if it is shown.
